Program change

Regular Full Time Day Students

To request a change of program students may do so through the program change module available on Omnivox. (Omnivox Services -> Program Change)

The deadlines to request a program change:

  • November 1st (for a program change request for winter)
  • March 1st (for a program change request for fall)

The Admissions Office will evaluate your request and the final decision will be posted on your Omnivox account.

Continuing Education Students

Transcript

Unofficial transcript

Current and former students may access an unofficial transcript on Omnivox. It can be retrieved in LEA> Grades> statement of Final Grades. There is no fee to access an unofficial transcript.

Official transcript

An official transcript is exclusively for educational institutions or employers. The official transcript is sent directly from the Registrar’s Office by regular mail or by email. There is a $5 fee per transcript request.

  • Courses in progress do not appear on transcripts until the final grades have been submitted.
  • You usually do not need to request an official transcript if you are applying to a Quebec university. The Admissions/Registrar’s Office of a Quebec university can access transcripts electronically without any charge to the student. However, consult your admissions requirements as various faculties and departments may require an official transcript.
  • Transcript requests are processed within 10 working days and must be submitted well in advance of the date required to avoid any delays. Allowance must then be made for mail delivery time. Vanier College is not responsible for transcripts lost or delayed in the mail.

Attestation letter and forms

Attestation letters and completion of enrolment forms can only be requested once registration for courses is complete.

  • The Registrar’s Office can only issue provisional attestation letters if they are requested after registration and before the Course Delete/College Withdrawal deadline. Official attestation letters can be issued after this deadline. See the academic calendar for exact dates.
  • Enrolment forms (registered educational saving plan forms, insurance forms, etc.) must be sent in PDF by email to [email protected]

Withdrawal

To officially withdraw from day studies, without incurring academic consequences, you must complete the online form by the deadline according to the date on the academic calendar.

You'll have to reapply to the College if you wish to later resume your studies at Vanier.  Refunds will be processes as per bylaw 7.

Course withdrawal (regular DCS programs)

Students can withdraw from a course as of the first day of classes until the course withdrawal deadline found in the academic calendar

Intersession and intensive courses have different withdrawal deadlines. Refer to your schedule for those dates.

  • Withdrawing from a course removes the course from your schedule and your transcript
  • Withdrawing from a course may change your status from full-time to part-time and it may extend the number of semesters to complete your program
  • Your teacher cannot withdraw you from a course
  • If you stop attending class without officially withdrawing, you will receive a failing grade

Course drop (regular DCS programs)

Students can drop a course after the withdrawal deadline until the course drop deadline found in the academic calendar

Intersession and intensive courses have different withdrawal deadlines. Refer to your schedule for those dates.

  • The course will remain on your schedule and a remark will appear on your transcript as "AE" (abandon étude)
  • No grade, credits or R-score will be assigned to that course
  • Your full- or part-time status will not change
  • Your teacher cannot drop you from a course
  • No extensions will be given after the course drop deadline

Incomplete grade (day studies)

If you've already missed the deadline to withdraw, an Incomplete grade might be an option. 

An Incomplete grade shows up on your transcript as a code ("IN") instead of a number grade. While it removes any failing grade from your record, it doesn't award you credits for the course.

Continuing Education incompletes->

What this means for you

  • Repeating the course: If the course is required for your program, you'll still need to take it again to earn credits.
  • No current credit: The Incomplete won't count towards your current semester's completed coursework.
  • Cannot be reversed : Once the IN is granted, it will replace any numerical grade and cannot be reversed.
  • Courses non-refundable: In the event that an IN is granted, the course is not refunded.
  • Full-time status: The IN will not have an impact on your status as a full-time student.

Conditions to request an incomplete

  • You are unable to complete the course for a reason a grave and serious nature such as an illness, the death of an immediate family member, or an accident.
  • The situation prevented you from attending or participating in class.

Requesting an incomplete

  • When requesting for medical reasons, the Health professional report must be completed by your physician, health specialist or psychologist. All sections must be completely filled.
  • In the case of the loss or a relative or close family member, a death certificate or declaration of death must be provided.

Mark update and grades review (day studies)

Mark update request

If you are looking to contest the final grade you received in a course, you may submit a mark update request after the submission date of final grades and before the course delete and semester withdrawal deadline.

Grades review

If you submitted a mark update request and were not satisfied with the response, you can submit for a grade review. Requests for grade reviews are evaluated by a department committee and must be submitted before the deadline.

Religious holy days

The holidays formally recognized by Vanier’s Academic Calendar are those set by law or by the collective agreements.

  • Labour Day
  • Thanksgiving
  • Christmas break
  • Good Friday
  • Easter Monday
  • Victoria Day

On other religious holy days, College proceedings and classes take place as usual. Students who are absent for religious reasons should not suffer a penalty related only to their absence. However, they are responsible for the material covered in the classes and labs that they miss, as they would be responsible for other absences. More information can be found in the Religious holy days section of the Institutional Policy of the Evaluation of Student Achievement (IPESA).

To request an absence for religious reasons, students must provide their teachers with the religious holy days absence form.

Duplicate diploma

Duplicate diplomas are ordered directly from the ministère de l'Enseignement supérieur.

Course equivalence

If you completed a course at another post-secondary institution and feel it is similar to a course that is part of your program at Vanier, you can request an equivalence (EQ). EQ provide the credits without having to take the course at Vanier.

A course outline contains the course description, course competency, ponderation and weekly schedule. It also includes the required materials for the course.
